How should the retreat schedule work with ferry travel?

Do not schedule a formal opening session immediately after arrival. Participants travelling without flying will find the journey described in the no-flight getaway guide. The group travels by international ferry from HarbourFront to Sekupang, completes immigration, moves between terminal areas and continues by onward local ferry with the Telunas team. Even when every connection works, people need time to eat, settle into rooms and recover from the journey.

Use arrival day for orientation, a gentle optional practice and an early evening. Place the most important sessions on full days. What must be confirmed about the practice space?

A waterfront space can look ideal and still fail operationally. Ask for usable dimensions, floor material, shade, airflow, nearby foot traffic, power access and the wet-weather alternative. Confirm whether the space is reserved for the group or remains shared. Ask what happens if wind, rain or another event makes it unavailable.

A waterfront pavilion photograph is not evidence that the space is available or configured for a retreat. The organizer should request a current venue plan or live video walkthrough for the exact proposed setup before advertising it.

Floor: flat, clean, dry and large enough for each mat plus safe space between participants.

Environment: shade, airflow, insects, sound, privacy, sun position and nearby guest movement.

Operations: setup access, lighting, power, audio, prop storage, water and a confirmed rain alternative.

How should meals and dietary needs be handled?

Send dietary requirements as a structured list, not a loose email thread. Separate allergies from preferences and include the participant name, severity, cross-contact concern and emergency plan where relevant. Ask the resort which requirements can be accommodated and how late changes are handled. The instructor should not promise a menu before the venue confirms it.

What does organizer sign-off look like?

Before accepting final participant payments, obtain a written venue summary that matches the programme you are selling. It should identify the property, dates, room block, rooming basis, practice space, wet-weather alternative, meals, equipment, transfers, activities, quote, payment schedule and cancellation terms. Resolve contradictions between the proposal and your marketing page.

Keep a versioned copy and name one decision-maker on each side. If the group size changes, ask for the revised implications rather than assuming the original room or venue plan still works.

How should the organizer review the retreat before launch?

Run one final contradiction check across the venue proposal, participant page, payment terms and schedule. Room numbers, inclusions, transfer times, practice-space description and cancellation wording should match in every place. Remove any photograph or sentence that implies a confirmed yoga setup when only a general resort space has been discussed.

Ask another person to follow the participant journey from booking to return transfer. They should be able to find what to pay, what to pack, where to meet, whom to contact and which parts remain subject to conditions. If the information is difficult to locate before launch, it will be harder to manage when the group is travelling.
